After you connect HubSpot, select Configure mapping on the HubSpot card to tell Aiventic which HubSpot object is a job and which HubSpot properties feed each Aiventic job field. You review the suggested mapping, save it, then select Activate to turn on job sync.

Who can do this: Owners only, with an active subscription.

Steps

  1. Connect HubSpot first. Go to Settings > Integrations, select View integration on the HubSpot card, and select Connect. Approve access on HubSpot's page.

  2. Back on the HubSpot card, select Configure mapping. The button only appears once HubSpot is connected.

  3. In the HubSpot field mapping panel, you see "Map your HubSpot objects and properties to aiventic job fields."

  4. If the panel says No mapping yet, select Run discovery. Aiventic inspects your HubSpot portal and suggests a mapping. You see "Discovering your HubSpot schema. This can take a moment...".

  5. On the Connection tab, choose the Job object (each matching record becomes one job) and the Pipelines to ingest jobs from. Sales pipelines are excluded by default.

  6. On the Field mapping tab, match HubSpot properties to Aiventic fields. The cards are Job, Technician, Customer, Asset, Parts and Symptom & work-log.

  7. Select Save. You see "Mapping saved".

  8. Select Activate. You see "Mapping activated. Job sync is now enabled."

Mapping status

A badge at the top of the panel shows the state of your mapping: Active, Needs attention or Draft. Activate is only available when the mapping is ready. If it is not, the panel shows Mapping is not ready to activate and lists the fields to fix.

Run discovery again

Select Rediscover to have Aiventic suggest a fresh mapping. You can add optional guidance first, for example which property holds the serial number. You are asked Re-run discovery? to confirm. Manual edits are lost unless the field is locked, and if the mapping is active, sync pauses until you activate it again.

Troubleshooting

  • Discovery is taking longer than expected or Discovery could not complete: select Retry discovery. If HubSpot could not be reached, check the connection first.

  • If the badge says Needs attention, review the fields listed in the warning and fix them on the Connection and Field mapping tabs.

  • Could not save the mapping. Please try again. or Could not activate the mapping. Please try again.: try again. If it keeps failing, contact Aiventic support.

  • If you are stuck, contact Aiventic support.
