Connect EPass to Aiventic and your EPass service invoices are pulled into Aiventic as jobs. Iven can then triage upcoming calls and answer questions about your job history. The connection is powered by ARIES, so some details come from ARIES rather than from EPass.
Who can do this: Owners only, with an active subscription.
What you can do with it
See your EPass jobs in My Jobs, with appointment dates where EPass has them.
Get an AI-generated service plan (triage) on upcoming jobs.
Ask Iven about a job, including notes, parts used and unit details.
What syncs
Aiventic reads from your EPass database through ARIES. Each EPass service invoice becomes a job, with:
Invoice number and job status. The status is the dispatch status code when there is one, otherwise the invoice status.
Customer name, address and contacts.
Appointment date and time slot, and completion date.
Technician.
Symptoms, resolution and work notes.
Product, brand, model and serial number.
Parts used.
Aiventic only reads from EPass. It does not create or edit anything. Only invoices created on or after your Synchronization Start Date are imported.
Before you start
You need these values, as labelled in the Aiventic window:
Bot Token: the access token for the ARIES Bot API.
Agent ID: the number of the ARIES agent that is connected to your EPass system. The agent must be online.
Caché ODBC Connection String: the connection string for your EPass database. It has this shape: Driver={InterSystems ODBC35};Server=...;Port=5641;DATABASE=...;UID=...;PWD=.... Use DATABASE=, not NAMESPACE=.
Synchronization Start Date, in MM/dd/yyyy format.
EPass Server Timezone: the time zone of your EPass server, written as an IANA name such as America/New_York or America/Chicago. EPass stores local clock times, so Aiventic needs this to convert them correctly.
The Bot Token and Agent ID come from ARIES. Ask ARIES, or your EPass administrator, for them and for the connection string. If you are not sure, contact Aiventic support.
Connect EPass to Aiventic
Go to Settings > Integrations.
Find EPass and select View integration.
In the Connect EPass with aiventic window, fill in all five fields.
Optional: select Run test. Aiventic checks the token, checks that your agent is online and tries to reach your database with the connection string. Nothing is saved.
Select Connect.
When you see Integration successful, select View integrations.
After you connect
Jobs sync automatically. The first sync loads everything since your start date, so it can take a while.
Link technicians to their accounts so each person sees their own jobs. See "Link technicians to user accounts".
Set which statuses count as active in the jobs settings. EPass status codes such as SCHEDULED are the values you choose from.
To connect another EPass system, select Add connection and name it.
Troubleshooting
Connection test for EPass has failed: Aiventic shows this for any failed test. Check, in order: the Bot Token, that the Agent ID is a number and its agent is online, the ODBC connection string (DATABASE=, not NAMESPACE=), and the time zone name.
Bot Token must not be empty. (or any other field name): fill in the missing field.
Integration failed: select Go back, check your details, then contact Aiventic support if it keeps failing.
No jobs appear: check the Synchronization Start Date. Invoices created before it are not imported.
