HubSpot integration

Connect HubSpot to Aiventic, choose which HubSpot object holds your jobs, and map its properties so jobs sync into Aiventic.

The HubSpot integration lets Aiventic read jobs that you track in your HubSpot account, so they show up in Aiventic like jobs from your other connected systems. HubSpot is a CRM, not a job system, so you tell Aiventic which HubSpot object holds your jobs and which HubSpot properties feed each job field. On the HubSpot card, the integration appears as HubSpot under the Job Management tag.

What you can do with it

  • See your HubSpot jobs in Aiventic once they sync.

  • Choose exactly which HubSpot object, pipelines and properties Aiventic uses, and lock the fields you have set by hand.

What syncs

Aiventic only reads from HubSpot. It does not create or edit records in HubSpot.

  • Jobs: records from the HubSpot object you choose as the Job object. The choices include Deals, Tickets, Contacts, Companies, Line Items, Notes, Tasks and any custom objects in your portal. The suggested default is Deals.

  • Pipelines and stages: jobs come only from the pipelines you select. Sales pipelines are excluded by default. Each stage maps to an Aiventic job status: Open, In Progress, Completed or Cancelled.

  • Linked records: customer (company and contact), equipment (manufacturer, model, serial), parts, symptom and work-log notes, and the person the job is assigned to, when you map them.

When Aiventic suggests a mapping, it masks personal details such as emails and phone numbers in the sample values it looks at.

Only active mappings sync. The first sync after you activate the mapping imports every matching record in your selected pipelines, then later syncs pick up records changed since the last run. HubSpot does not use a Synchronization Start Date. Jobs sync automatically. If you have questions about timing, contact Aiventic support.

Before you start

Who can do this: Owners only, with an active subscription.

You approve access on HubSpot's own page, so you sign in to HubSpot during setup. According to HubSpot's documentation, installing an app in HubSpot requires a Super Admin or a user with the App Marketplace Access permission. Permissions can change; check HubSpot's documentation or ask your HubSpot administrator.

You do not enter a client ID, secret or password in Aiventic.

Connect HubSpot to Aiventic

  1. Go to Settings > Integrations.

  2. On the HubSpot card, select View integration.

  3. Select Connect. Aiventic sends you to HubSpot.

  4. Sign in to HubSpot if asked and approve access.

  5. You return to Aiventic and see Connecting..., then Integration successful.

After you connect

  1. On the HubSpot card, select Configure mapping. The HubSpot field mapping panel opens.

  2. If you see No mapping yet, select Run discovery. Aiventic inspects your portal and suggests a mapping.

  3. On the Connection tab, confirm the Job object and Pipelines.

  4. On the Field mapping tab, review the cards: Job, Status map, Technician, Customer, Asset, Parts and Symptom & work-log.

  5. Select Save, then Activate. You see "Mapping activated. Job sync is now enabled."

Each field has a lock switch. A locked field keeps its value when you select Rediscover. Everything else may be regenerated. Selecting Rediscover asks you to confirm with Re-run discovery?, and an active mapping pauses sync until you activate it again.

The badge at the top shows Active, Needs attention or Draft. For step-by-step help, see "Map HubSpot fields to Aiventic jobs".
