Connect QuickBooks to Aiventic and your past QuickBooks invoices are pulled into Aiventic as jobs, so Iven can reference your repair history. The connection is built for QuickBooks Desktop and works through a small program (the on-prem agent) that you install on your side. It is not a connection to QuickBooks Online.

Who can do this: Owners only, with an active subscription.

What syncs

Aiventic reads customers, invoices and invoice lines. Each invoice becomes one job.

Customer name, bill-to address, ship-to address and contact details.
Invoice number, created and modified dates, and whether it is paid. The job status is Paid or Invoiced.
Invoice lines with an item become used parts (item, description and quantity).
Invoice lines with only a description are read as notes. Lines that start with labels such as "Job Description", "Completion Notes" and "Assigned Techs" are split into symptoms, resolution and technician.
A serial number and a service date, if the invoice lines carry them.

Aiventic only reads from QuickBooks. It does not create or edit anything in it. Invoices have no appointment date, so QuickBooks jobs are history, not upcoming calls.

Before you start

You need QuickBooks Desktop. For questions about your edition or version, contact Aiventic support.
You need to install the on-prem agent. Select Download agent on the QuickBooks card to get it. Installing it is usually a job for your IT person.
The agent must be reachable from the internet over HTTPS. The button's tooltip on the card says inbound port 8443, so your network has to allow that.
You enter the agent's address in On-prem Agent Base URL, for example https://qb-agent.yourcompany.example:8443. It must start with https://.
Optional: Sync Start (TimeModified floor).

Connect QuickBooks to Aiventic

Go to Settings > Integrations.
On the QuickBooks card, select Download agent and install the agent.
Select View integration.
Enter On-prem Agent Base URL. Optional: enter Sync Start (TimeModified floor) in the form 2020-01-01 00:00:00 (yyyy-MM-dd HH:mm:ss). Leave it empty to import all history.
Optional: select Run test to check that Aiventic can reach the agent.
Select Connect, then View integrations on the success screen.

After you connect

Select Probe on the card to check the agent. You see "Agent is healthy and connected" when it works.
Select Sync now to start a sync right away. You see "Sync started".
Probe and Sync now appear on the card while it has a single connection.
Jobs also sync automatically. For timing questions, contact Aiventic support.

Troubleshooting

On-prem Agent Base URL must not be empty.: enter the agent address.
Agent Base URL must use HTTPS.: change the address to start with https://.
Must be in 'yyyy-MM-dd HH:mm:ss' format (e.g. '2020-01-01 00:00:00'), or empty for all history.: fix the Sync Start value.
Agent unreachable or mTLS rejected (check URL, network, and client cert trust). (from Probe): check the address, that port 8443 is open, and that the agent is running.
Agent healthy but the demo read returned no rows. or Agent healthy but the demo session/read failed.: the agent is reachable but not reading data. Contact Aiventic support.
Failed to get download URL for QuickBooks or Failed to trigger sync for QuickBooks: try again, then contact Aiventic support.
Connection test for QuickBooks has failed: Aiventic could not reach the agent. Check the address and network.

Does Aiventic work with QuickBooks Online?

The QuickBooks integration is built for QuickBooks Desktop through an on-prem agent. Contact Aiventic support if you use QuickBooks Online.

Is the QuickBooks integration read-only?

Yes. Aiventic reads data and does not change anything in QuickBooks.

How much history does Aiventic import?

All of it, unless you set Sync Start (TimeModified floor) to a later date and time.

Why are my QuickBooks jobs missing brand and model?

Invoices only carry a serial number if the invoice lines include one. Aiventic does not read brand or model from separate QuickBooks fields.
